YOUR INFORMATION & CHOICES

Privacy Policy

How we handle information when you shop, rent equipment or contact our support team — and how you can ask questions or exercise your choices.

Published: 1 October 2020 · Last updated: 20 October 2026

1. Who we are and how to contact us

This policy explains how RespBuy handles personal information when you browse our website, buy or rent equipment, contact our support team or subscribe to communications. It applies to information handled through our website and the related customer-service channels described below.

Privacy and Grievance Contact: Sumit
Email: [email protected]
Telephone: 8800 537 507
Address: 03B, 4th Floor, MY Tower, Reach 3 Roads, Sector 70, Gurgaon, Haryana 122008.

2. Information we collect

The information needed depends on how you interact with us. We aim to collect information relevant to the service you request.

Orders, accounts and rentals

This can include your name, phone number, email address, billing and delivery addresses, order details, selected products and options, invoice details, payment status and transaction references. Rental records may include the agreed plan, equipment serial number, deposit and handover or collection details.

Support and product enquiries

We may handle messages, photographs, model or serial numbers and other information you provide when asking about compatibility, delivery, returns or service. Please provide only information relevant to your request.

Prescriptions and health information

If a prescription or health-related document is necessary for a particular request, we will explain why we need it and how to provide it. Please avoid sending complete medical records when a limited extract will meet the requirement.

Website activity and public contributions

Technical information can include IP address, browser and device information, pages visited and cookie or similar identifiers. Reviews or comments you choose to publish may be visible to other visitors with the display name you provide. Do not include prescriptions, contact details or private health information in public reviews.

3. Why we use information

  • Process payments and orders, issue invoices and arrange delivery or collection.
  • Manage customer accounts, rental agreements, deposits, returns and refunds.
  • Respond to enquiries and coordinate relevant warranty or repair support.
  • Protect accounts and transactions, investigate misuse and maintain website security.
  • Meet applicable accounting, tax, recordkeeping and legal obligations.
  • Send optional marketing communications and measure website or campaign performance where the applicable permission and controls allow.

We will explain additional purposes before using information in a materially different way where notice or consent is required. Buying a product does not by itself mean that you have agreed to every optional marketing use.

4. Payments

Payment providers handle information needed to authorise and process payments under their own terms and privacy notices. We use the payment status and transaction references needed to fulfil your order, reconcile payments and handle refunds.

Please never send full card details, a card security code, banking passwords or payment OTPs to our support team.

5. Prescriptions and sensitive information

We limit the use of prescriptions and other health information to the relevant product, support or legal purpose explained when it is requested. Access should be limited to people who need the information for that purpose.

We do not ask you to put medical documents in public reviews. Where information is about another person, please ensure you have appropriate authority to provide it. Information about a child requires the additional safeguards described below.

If you do not wish to provide requested information, contact our support team. We will explain whether we can provide the service without it and whether a less detailed alternative is sufficient.

6. Cookies, analytics and advertising

We use cookies and similar technologies to support website functions and security, understand how the website is used and measure advertising performance.

What these technologies do

  • Website functions and security: support features such as shopping sessions, login and protection against misuse.
  • Analytics: help us understand visits, interactions and traffic sources.
  • Advertising measurement: help us understand whether advertising leads to visits and purchases and support relevant advertising where permitted.

Providers and information involved

Our integrations include Google Analytics and Google Ads, Meta Pixel, OpenAI advertising measurement, and Automattic/Jetpack services. Cloudflare supports website security. Depending on the integration, information can include browser or device identifiers, page addresses, interactions and conversion details.

Some measurement is configured to take place on our server. Google enhanced conversions and OpenAI advanced matching can use hashed customer identifiers to match activity to advertising. Hashing does not make identifiers anonymous.

Read the providers’ privacy information: Google, Meta, OpenAI, Automattic and Cloudflare.

Choices and questions

You can block or remove cookies through your browser, although this may affect some website functions. Browser settings alone do not stop all server-side processing. Contact [email protected] with a privacy request or a question about tracking.

7. Email, WhatsApp, messages and marketing choices

We may communicate with you by email, telephone, SMS or WhatsApp, depending on the contact details you provide and the service involved. Service messages may include order confirmations, delivery updates and responses to support requests. Optional promotional communications are handled separately, with applicable consent and opt-out arrangements.

You can use an unsubscribe option where provided or contact [email protected] to request that we stop optional marketing. This does not prevent us from sending information needed to fulfil an existing order or meet legal obligations.

8. Who receives information

Information may be shared where necessary with service providers supporting payment processing, delivery, hosting, customer communications, accounting, security and product servicing. Manufacturers or authorised service centres may receive the information required to assess a warranty or repair request.

Optional analytics and advertising disclosures are explained in the tracking section. We may also disclose information where required by applicable law or a valid legal request.

We aim to limit disclosures to the information necessary for the purpose and use appropriate arrangements with service providers. A service provider's own privacy notice may also apply to information it processes independently.

9. Processing outside India and external services

Some technology providers may process information outside India. Where this occurs, we assess the applicable requirements and safeguards for the transfer. The location and protections depend on the service involved.

Embedded videos and external websites can have their own cookies and information practices. Review their privacy notices when interacting with them.

10. How long we keep information

We retain information for the relevant purpose and any applicable legal, accounting, dispute-resolution or security requirement. Retention should differ by record type rather than applying one indefinite period to everything.

  • Orders, invoices and payment records: for applicable statutory and transaction recordkeeping needs.
  • Accounts, support and warranty records: for the service relationship and relevant support or claim period.
  • Prescriptions and other medical documents: only for the necessary documented purpose and any applicable legal requirement.
  • Marketing preferences and suppression records: as needed to manage your choices and avoid resubscribing you unintentionally.
  • Technical logs and backups: according to defined security and recovery schedules and applicable requirements.

When information is no longer needed, it should be deleted or anonymised according to the applicable process. A deletion request may not remove records that we are legally required to retain.

11. Your requests and choices

Contact [email protected] to ask about your information, request correction or deletion, withdraw consent, or raise a privacy concern. Please identify the relevant account or order and describe the request. We may seek proportionate information to verify your identity or authority before disclosing or changing personal information.

We will explain the applicable rights, available action and any lawful retention or other limitation. Withdrawing consent may affect a service that needs that information, but does not automatically invalidate earlier lawful processing.

As the applicable DPDP provisions commence, our process will also support the statutory rights to information about processing, correction and erasure, grievance redressal and nomination, subject to the Act's conditions.

12. Children and authorised representatives

Purchases should be made by an adult able to enter into the transaction. If you need to provide information about a child or a person for whom you are an authorised representative, contact our support team before sending sensitive documents so that the appropriate authority and safeguards can be checked.

We do not intend the website's marketing features to target children. Where parental or guardian consent is required, the necessary verification should take place before the relevant processing.

13. Security and privacy incidents

We use organisational and technical measures appropriate to the information we handle. These should include access controls, secure administration and suitable protections when information is stored or transmitted. No website or transmission method can be guaranteed completely secure.

If you suspect misuse of your information or a security problem, contact our privacy contact promptly. We will assess incidents and provide notifications to affected people and relevant authorities where applicable law requires them.

14. Privacy complaints

[email protected]

Please include a description of the concern, the relevant account or order where available and your preferred contact method. Avoid attaching unnecessary medical or identity documents.

We will acknowledge your complaint and work to resolve it within the applicable legal time limit. If further information is needed, we will explain what is required. This process does not prevent you from using any remedy available under applicable law.

15. Policy updates

We may update this policy when our services, data practices or legal requirements change. The published version will show the relevant update date. Where an update requires a new notice or consent, we will follow the applicable process; changing this page does not retrospectively authorise an undisclosed use of information.
